You might already be familiar with web conferencing services where you use an audio conference bridge while watching someone present things on their computer screen via the Internet and the software. This can also be multiple-party Internet video conferencing, of course.

Well, especially when it comes to involving multiple people in a web conference, you want to make sure that these meetings run very smoothly. Technology is the best thing in the world for your business when it’s used right, but used wrong it becomes your business’ worst nightmare.

First of all, web and video conferencing is an up-and-coming field of activity. Business is becoming increasingly globalized and many companies now have staff or clients located in distant locations, sometimes in other countries or on other continents. Online meetings are being used by some of the leading enterprises, but there are many more organizations that have not even begun to take advantage of web or video conferencing.

This is a huge market waiting to be tapped, and with the increasing penetration of broadband use both in the workplace and at home, the market grows larger with each passing month.

Just as there are relatively few companies using web and video conferencing, there are comparatively few resellers or affiliate sellers of these services to compete with. If you would like to get into this business then you should do an online search for web conferencing resellers or affiliates, and choose a program that you can effectively handle.

But with so many services to choose from; how do you decide which is the best fit for your business? Not to mention your budget.

Here are 5 steps to choosing the best web conferencing service:

1) Maximum Meeting Size:

It’s important for you to decide how many guests or attendees you need to have in a meeting. If you plan on holding sales meetings or online training sessions, choose a package for up to 50 guests.

For most businesses, it’s best to choose a web conference provider that allows a maximum of 50 guests so you won’t ever have to worry about being charged exorbitant additional guest fees. Or you could end up paying an additional $375 dollars for a single meeting!

Plus, you won’t have the hassle of upgrading your package if you need to include more people in the meeting.

2) Collaboration Tools:

The most productive online meetings have video sharing for up to 6 participants, full desktop sharing capabilities, the ability to give PowerPoint presentations, free integrated VoIP, and a chat feature so questions can be addressed.

Also, the best services provide FREE web cameras that work seamlessly with the web conferencing solution as an added plus.

3) Ease of Use:

The program should be easy for you as well as easy for your guests. Otherwise you’ll be wasting valuable time struggling with the service instead of focusing on your meeting and potential customer.

Many video web conferencing services are web-based so there is no complicated software to download or configure. Your guests should not have to purchase or download any software to attend your web conference either. The best solution is to have automatic email invitations sent to your guests with a direct “clickable” link to your meeting.

4) Personal customer support:

There’s nothing more frustrating than having a problem and being told to “read” the user manual or email support. The best video web conferencing service will assign you a personal support representative to assist you in anything you may need – forever!

5) Pay As You Go:

The best service allows you to pay as you go a flat monthly rate with the option to cancel at any time. Many plans have a discounted price if you sign a one year contract. It’s best to have the option to cancel if you’re dissatisfied.

Web conferencing is hard to get right but when you do it is the most cost effective way to engage largish audiences.

I'd suggest doing a dry run with 10 friends and family in 5 different locations, with 10 different computer abilities to iron out any techinical issues.

Can't tell you how many times a conferencing service has distracted a group with technical issues, wasting not just one person's time, but an entire group. When you calculate everyone's salaries going down the tubes while people try to figure out how to work the basic mechanics, it's such a waste.
